In OneDrive Essentials training, we learn all about restoring old versions of documents stored in the cloud. Did you know you have the same ability with your OneNote Notebooks? And the good news is, it is remarkably simple. For that matter, you also have a variety of additional features available to you that involve the history features in your notebooks. Let’s take a look.

A Note on OneNote Applications

There are many types of OneNote Applications in the mix: phone applications, tablet applications, Windows Store applications, Mac applications, and so on… The application I am referring to for this Byte is the OneNote Desktop Application for PC.

Recently Deleted Onenote

Well, deleted OneNote files can be restored from NoteBook Recycle Bin. Just Open the Share tab, and choose NoteBook Recycle Bin in the History group. After finding your deleted notes, right-click on the page you want to restore, select Move or Copy to restore it to its original location. Open the shared notebook where you lost recent notes. Choose the View tab and Deleted Notes. If your deleted notes are found there, right-click the page tab that you want to restore, and then use the Move or Copy command to put the notes back in their original location.

This does not mean these history features are not available in other apps, but the Desktop Application is by far the most versatile way to access OneNote notebooks, and is still the way I would recommend accessing your notebooks primarily.

History Tab

Just a heads up that we will be hanging out in the History tab in the desktop PC application of OneNote for all of the features described below.

Restoring Page Versions

One of the most exciting abilities in the History tab is the Page Versions feature. Just like your OneDrive documents, by default OneNote is keeping track of different versions of each page in your notebook.

  1. Go to the History tab, History group and select the dropdown for Page Versions.
  2. Select Page Versions
  3. Notice on the right side, old page versions will appear shaded in grey. Select one to take a closer look.
  4. To restore a page version, or see more options, click on the gold bar that appears at the top of the scren.

There are a couple more options worth mentioning in the dropdown for Page Versions, including the ability to:

  • Delete all versions in a section, group or notebook
  • Disable history for this notebook (not recommended).

Recent Edits

Relatedly, you can search by recent edits made to a notebook. This can be especially helpful with notebooks you are sharing with others.

  1. In the History tab, Authors group, select the Recent Edits dropdown.

2. Select a time range to view.

3. Search results will appear on the right side of the screen, with edited pages highlighted in yellow.

Find by Author

Here is another great tool to keep you organized if you are sharing your notebook: the ability to search by author.

1. Go to the History tab, Authors group and select Find by Author.

2. On the right, you can refine your search by a specific author.

  • You can easily delete a notebook in OneNote when you no longer need it.
  • If you might want the information in the notebook again in the future, you can remove it from OneNote without permanently deleting it from your computer.
  • You can't delete notebooks from OneNote, so you will need to find it using File Explorer and remove it from there.

Because OneNote allows you to create a different notebook for each major project, you might end up creating a lot of them to keep your information organized. If you complete a project and no longer need the notebook anymore, you can delete it from OneNote.

If you don't need to see a notebook in OneNote, you can remove it from the app without permanently deleting it. This lets you add it back later if you ever need to see it again. But if you want to delete a notebook permanently, it's important to note that there's no tool in OneNote to do this, so you'll need to do it using Windows.

If you're unsure where to find the notebook you want to delete, you can locate it by clicking your current notebook to display the drop-down list of all your notebooks. Select 'More Notebooks…' before pointing your mouse over the notebook you want to delete, and waiting for the hover text to appear.

You should be able to determine what folder it's stored in by looking at the URL OneNote is using to describe the location. Once you've located the OneNote notebook you want to delete, here's how to remove it.

1. In OneNote, click the current notebook to display the drop-down list of all your notebooks.

How to permanently delete a notebook in OneNote

1. Open a File Explorer window and navigate to where your notebooks are located. In most cases, they will be stored in the Documents folder in a subfolder called 'OneNote Notebooks.'

2. Select the OneNote folder you want to delete.

3. Press the Delete key on your keyboard.

4. Confirm that you want to delete it if OneNote prompts you.
